Accessibility is not a single ramp or checkbox. It is the ability to receive information, arrive, enter, participate, eat, communicate and leave with dignity.
Add a private RSVP prompt such as: “What would help you participate comfortably?” Offer examples—step-free access, seating, ASL/LSQ, captions, a quiet space, dietary needs or accessible transport—without requiring a guest to disclose a diagnosis.
Tour the actual route rather than accepting “wheelchair friendly” as a complete answer. Photograph problem transitions—with permission—and assign fixes in writing.
Use readable type, good contrast and plain language. Provide digital information that can be enlarged or read by assistive technology. For guests who request it, plan captioning, ASL or LSQ interpretation, assistive listening or written versions of key remarks. Tell speakers to use the microphone.
Collect dietary requirements early and confirm the caterer’s cross-contact process. Label meals accurately and identify the person who can answer ingredient questions. Provide sturdy chairs with backs, varied seating, easy aisle access, water and a safe place for medication where requested.
An accessible venue is still inaccessible if the shuttle cannot carry a mobility device or the curb is blocked by snow. Confirm vehicle access, drop-off surface, parking enforcement, snow clearance and travel time. Share exact entrance instructions, not merely the street address.
Name each accommodation, owner and deadline in the run sheet. Ask vendors what they can deliver, document the answer and re-confirm close to the wedding. Accessibility laws and standards set important obligations, but a thoughtful plan also addresses the real needs guests identify.
